Privacy Policy

What we hold about your family, why we hold it, and who can see it.

Last updated October 3, 2026

Who we are

Chelsea Wrestling Club is a youth wrestling club serving families in Chelsea, Michigan. We run the Team Hub at chelseawrestlingclub.com so families can register, see the schedule, and tell us whether they are coming.

Questions about this policy: info@chelseawrestlingclub.com.

This policy describes what the Team Hub actually does. We have kept it specific rather than general, so you can tell what is true of us rather than of software in the abstract.

What we hold

Guardian accounts. Your name, email address and, if you give one, a phone number. You choose a password; sign-in is handled by our authentication provider, which stores passwords in hashed form. The club does not store your password and does not have a way to read it.

Household and wrestlers. Your family name, the guardians attached to it, and for each wrestler: name, date of birth, grade and school. Parents and guardians provide this. We do not collect information directly from children.

Health information. Allergies and other considerations you choose to tell us, so coaches can look after your wrestler. Who can see this is set out below.

Registration. Registration status, practice group, club shirt size, wrestling experience (including years competing and any MyWay or NUWAY membership you enter), and any equipment you request with its size. Admins may add a short note explaining a decision such as a practice-group change, a late registration or a withdrawal.

Agreements. The record that you accepted the participation waiver, the code of conduct and your photo and media choice, including which version you agreed to and when.

Fees and payments. What your family owes, any fee waiver the club applied and its reason, and payments the club records as received: amount, method and date, with an optional internal note. The Team Hub does not take card details and does not process payments. If you pay through Venmo you do that in Venmo, under their terms.

Attendance and RSVPs. Whether your wrestler is coming to a practice, whether your family is coming to a club event and how many people you are bringing, and any short note you add.

Club email. Email we send you — guardian invitations, password resets, registration messages — together with the recipient address, the subject line, whether it was delivered, and an error if it was not.

Calendar subscriptions. If you set up a calendar link, we store a one-way hash of that link so we can recognise it when your calendar app asks for your schedule. We do not store the link itself.

Technical information. A session cookie set by our authentication provider to keep you signed in, and ordinary server logs. The Team Hub uses no advertising trackers and no third-party analytics.

Why we hold it

To run the club: register wrestlers, group them correctly, give coaches what they need to look after your wrestler, tell families when and where to turn up, keep track of what is owed, and keep a record of the agreements you signed.

We do not sell your information, and we do not share it for advertising.

Who can see it

Your family's information is visible to the guardians of your household.

Health information is visible to your household, to club admins, and to the coaches assigned to your wrestler. A coach who is not assigned to your wrestler cannot see it.

Attendance answers and RSVPs, including any note you add, are visible to your household and to club staff — that is, coaches and admins.

Registration, agreement and payment records are visible to your household and to club admins.

These limits are applied by the database itself rather than only by the screens, so a page cannot show someone information they are not entitled to.

Services we rely on

Our database and sign-in are provided by Supabase, and the site is hosted by Vercel. Club email is sent through Chelsea Wrestling Club's own email host. Each of these handles information on our behalf under its own terms.

If you choose to subscribe to the club calendar, your calendar provider — Apple, Google or another — fetches your schedule from us. See the calendar section below.

How long we keep it

For as long as your family is involved with the club, and afterwards for as long as we need it as a club record — registrations, signed agreements and payment history in particular. If you want to know what we hold about your family, or you would like something removed, email us and we will tell you what we can do.

Children

Accounts belong to parents and guardians. We do not knowingly allow children to create accounts and we do not collect information directly from children.

Your choices

You can correct your family's details in the Team Hub, change your photo and media choice, clear an attendance answer, and reset your calendar link. To ask for a copy of what we hold, or to ask us to remove something, email info@chelseawrestlingclub.com.

Calendar subscriptions

The Team Hub offers a private calendar link for your household. Apple Calendar, Outlook and other calendar apps can subscribe to it, and your family's practices and club events appear in your calendar. This is optional.

The calendar carries what is on the club's schedule: what, when, where, which programme, and any note the club published. It does not carry wrestler or guardian names, attendance answers, RSVPs or anything about payments.

Your calendar link is private to your household. Treat it like a password: anyone who has it can see your family's schedule. You can reset it in the Team Hub at any time, which stops the old link working.

How quickly a change reaches your calendar is decided by your calendar provider, not by us. The Team Hub always has the current schedule.

Connecting Google Calendar (planned)

This is not available yet. Chelsea Wrestling Club does not currently connect to Google accounts, does not hold Google credentials for anyone, and does not create or write to calendars inside anyone's Google account. We are describing it here in advance so families know what it would involve before it is offered.

We may add a way for a parent to connect Google Calendar directly. If we do, and if you choose to use it:

  • Connecting would be entirely optional, and nothing in the Team Hub would depend on it.
  • We would ask Google for one narrow permission: to create a calendar of our own in your account and manage the events on it. We would create a calendar named “Chelsea Wrestling Club” and keep your family's practices and club events in it.
  • That permission would not give us access to your other calendars. We would not be able to read your personal, work or family calendars, or any event we did not create.
  • The authorisation Google gave us would be encrypted and held on our servers only. It would not be sent to your browser.
  • We would use it for one purpose: keeping the Chelsea Wrestling Club calendar in step with the club's schedule.
  • We would not add you or your wrestler as an attendee on a Google event, and we would not treat a Google “Yes”, “No” or “Maybe” as a Chelsea Wrestling Club attendance answer. Attendance stays in the Team Hub.
  • You could disconnect at any time from the Team Hub, or withdraw our access directly in your Google Account permissions. Disconnecting would remove the authorisation we hold.

Limited Use. Chelsea Wrestling Club's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We would use Google user data only to provide the calendar feature you asked for; we would not transfer it except as needed to provide that feature, for security purposes, or to comply with law; we would not use it for advertising; and no person would read it except with your explicit permission, for security purposes, to comply with law, or where the data has been aggregated and anonymised.

Changes to this policy

If we change this policy we will update the date at the top, and for anything significant we will tell families directly.
